Head Count Entry Information


All coaches and parents must enter by first establishing an account with

Head Count Online Registration http://www.headcountreg.com/

Choose: Massachusetts 9th Annual Middle School XC Invitational

Many of you have already established an account.


A) ALL TEAMS MUST ENTER ONLINE – no mail-in entry

THE ONLY TEAMS THAT MAY PAY WITH A CHECK MUST BE THROUGH A SCHOOL CHECK OR PURCHASE ORDER. ALL OTHERS MUST PAY ONLINE WITH CREDIT CARD

B) Any given email address can only be associated with one middle school

Those who will be entering runners representing more than one middle school

must use a unique email address for each school.


C) Where it asks for “Affiliation”, type the school name.

Where it asks for “Town”, type the town name where the middle school is located.


D) Enter your roster (if a new account) or, for existing account users, add or delete names on your roster.

Then click Continue at bottom of page.

NOTE: YOU HAVE NOT YET ENTERED ANYONE AT THIS STAGE OF REGISTRATION.


E) Select/place each of your boys and/or girls names from the roster into the appropriate Race Event. The ten "Race Events" are listed below.

They are entered in the meet only after you place them into an event.

When all participants are placed in an event, click “Continue” at bottom of the page. We found this is the most common mistake!


REMINDER!!! On race day in the Championship Races, you may run to any 5 to 7 runners REGARDLESS of which race they were entered in online. All other members of your roster will run the grade races.

Event Selection:
Event 1 - 8th Grade Girls Race (unlimited entries)

Event 2 - 8th Grade Boys Race (unlimited entries)

Event 3 - 7th Grade Girls Race (unlimited entries)

Event 4 - 7th Grade Boys Race (unlimited entries)

Event 5 - 5th/6th Grade Girls Race (unlimited entries)

Event 6 - 5th/6th Grade Boys Race (unlimited entries)

Event 7 - Division 2 Girls Championship Race (5-7 entries)

Event 8 - Division 1 Girls Championship Race (5-7 entries)

Event 9 - Division 2 Boys Championship Race (5-7 entries)

Event 10 - Division 1 Boys Championship Race (5-7 entries)


Note: On race day, you may send to the start of the Championship races

any 5 to 7 runners regardless of the race you originally entered them in.


F) Complete your entry with a “Success page” listing all your athletes you want to compete in a specified race. You can print the page, and then you will receive an email confirmation from Head Count with your entries.

If you discover you have omitted an athlete from your roster, you can start at Step-A to add the athlete, then proceed to Step-B to add to event, and finally to Step-C to finalize your new meet entry listing.

You can make as many changes as you want to your roster/entries using the 3-step procedure until the posted registration deadline.

FOR COACHES WHO MAY NOT PAY WITH CREDIT, OR WILL NOT BE REINBURSED IF USING THEIR OWN CREDIT CARD –

ENTER ATHLETES PER ABOVE BUT DO NOT FINISH BY PROCESSING A CREDIT CARD. CONTACT USATF-New England AND STATE THAT YOU WILL BE USING A PURCHASE ORDER OR SCHOOL ACCOUNT CHECK.


THE PAYMENT OR PURCHASE ORDER IS BASED ON WHAT YOU HAVE ENTERED AT ENTRY DEADLINE AND NOT ON HOW MANY YOU BRING TO THE MEET-THE FEE IS AN ENTRY FEE NOT A PARTICIPATION FEE

REMEMBER:

Make sure to enter ALL your athletes who you wish to receive a bib number to run in one of the ten events.

You can decide on race day who runs in the team scoring race.


Registration Timelines:

   Head Count Online Event Entry for Boys and Girls opens on 9/15/2017 .

    Deadline for completing Head Count event entry is 11:59 pm Eastern Time on Wednesday, October 25, 2017.


This date / time deadline is when the Head Count system is TURNED OFF for all event entries for this meet. To have a valid registration, you need to be completely finished with a “Success Page” before this eadline, or the entries are considered late. Plan accordingly.


ALL LATE ENTRIES will incur a cost of $10 per entry.

Late entries are due by Wednesday, November 1, by 12 noon

SIGNED WAIVERS

The waiver forms can be found at and downloaded from the website.

All teams / individuals MUST submit a waiver for each entrant, signed by the parent or guardian – not the coach.

It is the coach’s responsibility to collect and submit the waivers.

Bring them to the meet, and exchange all waivers for the packet of bib numbers. They will be counted and matched.

(The forms may be sent by mail/email/fax to arrive before Friday Nov 4)

There will NOT be extra forms on site. Have the students complete the forms early, and get them to you early. There will NOT be forms to fill out on site.

NO SIGNED WAIVER, NO PACKET, NO RUNNING, NO EXCEPTIONS
